Impact reporting overview
How reporting works
When you first land on your ChangeX project page you will see the impact steps greyed out at the bottom.
All projects are required to submit an impact report within 1 month of the approved end date of your project. Depending on the start date, end date, and duration of your project, you might be asked to submit additional impact reports as outlined below.
You also have access to your application on your project page, under "Submissions" and we recommend you revisit it before starting the impact report.
Required for all projects
Complete the impact survey: A detailed survey covering qualitative and quantitative aspects of project reach and outcomes. The survey takes approximately 15 minutes to complete.
Share photos of your project: Post your favourite high-quality photos and videos showing your project in action. Feel free to share any other information that you would like us to know here as well. This must include:
At least five high-quality photos and/or videos showing your project in action
Any quotes or additional information you would like to share.
Required for projects spanning more than one year
Share an interim update on your project to unlock the remaining grant funds (halfway through the implementation of your project based on your project’s start and end dates):
Provide a brief update on the progress of the main project activities, target groups’ involvement and any lessons learned in the project implementation so far. Share high-quality photos and videos that show your project in action, as well as any impactful stories. This is a lighter-touch update – you do not need to complete the full impact survey at this stage.
The new reporting requirements below are applied to projects with a start date after January 1, 2026. We will reach out to you ahead of the mid-year and end-of-year check-ins deadlines if your project is required to submit a report.
Check-ins during your project
While your project is active, you will be required to submit up to two check-ins per calendar year. ChangeX will notify you in advance of any deadlines that apply to your project.
Mid-year check-in: due June 30 of each year that your project is active
End-of-year check-in: by December 31 of each year that your project is active
These check-ins report your actual reach to children, Train the Trainers participants and parents/caregivers trained.

Expected reach
Based on your application, how many children did you expect this project to benefit?
Number of direct children beneficiaries: Children reach in children-facing learning through play activities (e.g. children engaged in play-based education sessions, children engaged in workshops etc).
Number of indirect children beneficiaries: Children reached indirectly by trainees (i.e. educators, caregivers). To calculate this please indicate the expected number of trainees and then:
➡️ For educator training above 4 hours, the multiplier is 100 children per trained intermediary. Example: 20 trainees, training is 5 hours: 20 x 100 = 2.000 indirect children beneficiaries.
➡️ For educator training below 4 hours, the multiplier is 10 children per trained intermediary. Example: 15 trainees, training is 3 hours: 15 x 10 = 150 indirect children beneficiaries.
➡️ For caregivers training the multiplier is always 1 caregiver per 1 child - regardless of the amount of time the training is.
❗️Important note: Unintended reach (e.g. audience visiting a gallery space, social media impressions of content, or any other engagements) is not to be considered here.
Total expected reach will be automatically calculated for sub-grantees ease of reference.

How many children have benefitted from your project so far?
